Who it's for

A hairdresser cutting a client’s hair

Most business owners know reviews matter. The problem is doing it consistently. The team forgets to ask, customers mean to leave one but never do, and replies pile up until someone has an hour on a Sunday. Meanwhile, the competitor across town has twice as many reviews and replies to every one of them.

Review management services fit businesses where customers choose based on what other people say:

  • Home service companies, like plumbers, electricians, pest control and cleaners, where customers let a stranger into their home and want reassurance first
  • Medical, dental and wellness practices, where patients read reviews about bedside manner and wait times
  • Restaurants, cafes and bars, where volume and recency of reviews shape where people eat tonight
  • Salons, spas, gyms and studios, where trust in a specific person matters
  • Auto repair, contractors and other trades that live on repeat customers and referrals

Typical signs you need help:

  • You have far fewer reviews than the businesses ranking above you
  • Your newest review is months old
  • Negative reviews sit unanswered
  • Staff reply in different tones, or someone once replied angrily
  • You have no idea what customers praise or complain about most

If you also face damaging content beyond reviews, like negative articles or misleading search results, see online reputation management, which covers the wider picture.

How we do it

  1. 1

    1. Build the request system

We create a direct link to your Google review form and a QR code for your counter, receipts or invoices. Then we write short request messages for text and email that sound like you, not like a marketing department. We agree with you on the right moment to ask: at checkout for a salon, on job completion for a contractor, or in a follow-up message a day after a dental appointment. Asking at the right moment makes a bigger difference than any wording.

  2. 2

    2. Train your team

We give your staff a one-page guide: when to ask, what to say, and what never to do, such as offering a discount in exchange or only asking customers who seem happy. Asking everyone the same way keeps you within Google's rules.

  3. 3

    3. Monitor every review

Brand and media monitoring tracks new reviews and mentions of your business name, so nothing slips by. We watch Google closely and include other sites relevant to your trade, like Yelp, Facebook, Healthgrades or Avvo, depending on your industry.

    4. Reply to all of them

We write replies in your voice. For positive reviews, we thank the customer and mention the specific service where it's natural. For negative ones, we acknowledge the problem, avoid arguing in public, protect customer privacy and invite the reviewer to continue the conversation directly. Replies involving patient information, legal matters or an employee go to you for approval first.

  5. 5

    5. Flag policy violations

Reviews that are spam, contain hate speech, come from competitors or describe a different business can be reported to Google. We report those with the reasons documented. Google decides, and genuine criticism stays up, but a clear report gives the review the best chance of a fair look.

  6. 6

    6. Read the patterns

Review analysis and AI search visibility tracking help us see the overall tone of what customers say and which topics come up again and again. If "wait time" appears in a growing share of your reviews, that's something to fix in the business, not in the replies. Equally, if customers keep naming one technician or one dish, that's worth knowing too. We pass those patterns on to you in plain terms, and where they point to a problem with a process, we say so, even when it isn't strictly an SEO issue.

What you receive

In the first month, you receive your review link, QR code files for print, the request messages for text and email, the staff guide and the agreed reply style guide.

Each month after that, you receive a review report showing:

  • New reviews by site, with star ratings
  • Your average rating and total count, compared with the previous month
  • Every reply we posted, and any we sent you for approval
  • Reviews we flagged to Google and what happened
  • The main themes in customer comments, praise and complaints alike

We also include one or two practical suggestions based on what customers are saying, such as a service people keep praising that deserves its own page on your website, or a step in your request routine that customers seem to skip.

Frequently asked questions

Can you write reviews for us or remove bad ones?

No. We never write, buy or post reviews, and we don't know of any legitimate way to delete a genuine negative review. Fake reviews break Google's rules and the FTC's rule on fake reviews, and they can get your profile penalized. What we can do is flag reviews that break Google's policies, such as spam, off-topic rants or reviews from people who were never customers, and help you respond well to the rest.

Can we offer a discount or a gift card for leaving a review?

No. Google doesn't allow incentives for reviews, even if you're asking for an honest one. The same goes for review gating, which means asking customers how they feel first and only sending happy ones to Google. Our request system asks everyone the same way.

Do reviews help local rankings?

Reviews are one of the factors Google considers for local results, alongside your profile, website, citations and distance. Their bigger effect is often on customers: when three businesses appear in the Map Pack, many people compare ratings, read the recent reviews and pick one. Replies matter here too, because potential customers read how you handle criticism.

Is this a Google review management tool or a service?

It's a service. Many review tools send automated requests and leave the rest to you. We set up the request process, monitor your reviews, write the replies and report on what customers are saying. You don't need to learn or log in to any software.

Who replies to the reviews, and will they sound like us?

We write the replies, following a short style guide we agree with you at the start: how formal to be, whether to sign with a name, and what never to say. For sensitive reviews, such as a complaint about a specific employee or anything involving health or legal details, we send you a draft to approve before it's posted.

Should we reply to reviews that are only a star rating with no text?

A short thank-you is enough, and it shows that someone is paying attention. We keep these replies varied so they don't read as copy and paste.

What about Yelp, Facebook or industry review sites?

We monitor the review sites that matter for your business and include them in your report. Some platforms have their own rules on asking for reviews; Yelp, for example, discourages businesses from asking customers for reviews at all. We follow each site's rules and focus requests on Google unless there's a good reason not to.
